What personal data ProperLand collects, why we collect it, how long we keep it, and how you can get it back or have it deleted.

Who we are
ProperLand is a residential estate agency registered in England and Wales (company number [Company number]), with its registered office at [Your street address], [Your town], [Postcode]. For the purposes of the UK GDPR and the Data Protection Act 2018 we are the data controller for the personal data described in this policy. Our ICO registration number is [ICO number]. What personal data we collect
- Details you give us — name, email address, phone number, property address and anything you write in an enquiry, valuation request or viewing booking.
- Transaction information — where you instruct us on a sale, purchase or tenancy: proof of identity, proof of address, proof of funds or income, right to rent documents, and references. We are required to collect some of this under the Money Laundering Regulations 2017 and, for tenancies, Right to Rent checks.
- Technical data — IP address, browser type, device type, referring page and the pages you view on this site, collected through cookies and server logs.
- Marketing preferences — whether you have asked to receive property alerts, and whether you have unsubscribed.
We do not buy personal data from third-party list brokers, and we do not ask for special category data such as health information.
How we use it
- To answer enquiries, arrange viewings and prepare valuations.
- To carry out sales, lettings and property management instructions, including sharing details with the other side's agent, conveyancer or referencing provider.
- To meet legal obligations, including identity verification and record keeping.
- To send property alerts and newsletters, where you have asked for them.
- To measure how the site is used so we can improve it.
We do not sell your personal data, and we do not use it for automated decision-making that produces legal effects.

Cookies

You can block or delete cookies in your browser settings. Blocking essential cookies will not stop the site working, but some preferences will not be remembered.
Who we share it with
We share personal data only where it is needed to deliver what you asked for or to meet a legal duty: the other party's agent or conveyancer in a transaction, referencing and credit-check providers for tenancies, our IT and email providers, our accountants and auditors, and law enforcement or regulators where we are legally required to disclose. Each provider is bound by contract to process data only on our instructions.
How long we keep it
- Enquiries that do not become instructions: 12 months from your last contact.
- Completed sales, purchases and tenancies: 6 years after the transaction completes, to meet HMRC and money laundering record-keeping duties.
- Marketing preferences: until you unsubscribe, plus a suppression record so we do not contact you again by mistake.
Your rights
You can ask us to give you a copy of the personal data we hold about you, correct it if it is wrong, delete it where we have no ongoing legal reason to keep it, restrict or object to how we use it, or send it to another provider in a portable format. Where we rely on consent, you can withdraw it at any time — every marketing email has an unsubscribe link.
Email privacy@properland.com and we will respond within one month. If you are not satisfied with our response, you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
Security
Data is transmitted over HTTPS, stored on access-controlled systems, and available only to staff who need it for your instruction. No transmission over the internet is completely secure, so we cannot guarantee absolute security, but we do notify affected individuals and the relevant authority where a breach is likely to create a risk.
Children
This site is intended for adults. We do not knowingly collect personal data from anyone under 13, the age of consent for information society services in the UK. If you believe a child has given us their details, contact us and we will delete them.
Changes to this policy
We update this policy when our practices change. The date at the top of the page shows the current version. Material changes are announced on the homepage for 30 days.
Terms of use
Property details on this site are provided in good faith under the Consumer Protection from Unfair Trading Regulations 2008 and are not an offer or part of a contract. Measurements, floor areas and prices are approximate and may change. Photographs may show a property in a previous condition or with staging that is not included in the sale. Nothing on this site is legal, tax or mortgage advice, and you should take independent professional advice before committing to a transaction. These terms are governed by the law of England and Wales.
The site, its text, images and code belong to ProperLand or its licensors. You may view and print pages for your own use; reproducing them commercially without written permission is not permitted.
